Approval Flow

Leave requests move through a simple flow: submitted → reviewed → approved or declined. Here's how it works.


The stages

StatusWhat it means
PendingSubmitted and waiting for review
ApprovedAccepted — the leave is confirmed
DeclinedNot approved — the person is notified
CancelledThe member cancelled it themselves

Who can approve?

Approvals are handled by people with manager or admin roles in your workspace. The exact permissions depend on your workspace configuration.


How to approve or decline a request

  1. Go to Leave in the sidebar
  2. Filter by Pending to see what needs action
  3. Click on a request to open it
  4. Click Approve or Decline
  5. Add an optional note (recommended for declines)

The person is notified of the decision.


Approving from a person's profile

You can also review leave requests from someone's profile:

  1. Open their profile
  2. Go to the Leave tab
  3. Pending requests will be shown with approve/decline options

Can an approved request be cancelled?

Yes — members can cancel an approved request, as long as the dates haven't passed. When they do:

  • The leave is removed from the calendar
  • Their balance is restored
  • You'll receive a notification

Admins can also cancel leave on behalf of a member.

:::warning Common mistake Declining a request without adding a note. The member sees only "declined" — a brief explanation goes a long way and saves a follow-up conversation. :::
