Common Invitation Issues
Things occasionally go wrong with invitations. Here are the most common problems and how to fix them.
"I didn't receive the invitation email"
Check these first:
- Spam or junk folder — invite emails sometimes end up there
- Promotions tab (in Gmail)
- Confirm the email address on their profile is correct
If the address is wrong:
Update the email on their profile and send a new invitation.
If the address is correct and nothing arrived:
Click Resend invitation from their profile. If it still doesn't arrive after a few minutes, contact your workspace admin.
"The invitation link has expired"
Invitation links are valid for 7 days. After that, the link is dead.
Fix: Resend the invitation from their profile. A new 7-day link is generated.
"I clicked the link but got an error"
A few reasons this can happen:
- The link was already used (each link works once)
- The link was revoked by an admin
- The link expired
Fix: Ask the admin to resend the invitation.
"The person accepted but their status hasn't updated"
Try refreshing the People list. Status updates happen in real time, but a browser refresh can resolve display lag.
If the problem persists, ask them to confirm they completed the account setup step — sometimes people click the link but don't finish creating their password.
"I sent the invite to the wrong person"
Revoke the invitation immediately:
- Open the person's profile
- Click Revoke invitation
The link is invalidated. No one can use it to join your workspace.
Then correct the email on the profile and send a fresh invitation to the right person.
Revoke incorrect invitations quickly. Until revoked, anyone with that link could accept and join your workspace.
"Can I invite someone to multiple workspaces?"
Yes. Workloom accounts are not tied to a single workspace. A person can be a member of multiple workspaces using the same email address. Each workspace sends its own invitation.
